Policies & Procedures

General Information

  1. Registration will only be processed after you and your family have been entered into the database. Please go to My Account and follow the instructions (will take 2 business day) or call Program Registration at (949) 724-6610 to have your account created instantly! Once your account is created, you can register online or through the Touch Tone System. You may also use the Fax, mail or walk in method of registration. Click for Registration Information & Forms.
  2. Registrations made On-line or through the Touch Tone System are processed instantly. Applications that are faxed, mailed or delivered to the Irvine Civic Center-Community Services are processed in order received. To use the fax or mail, download and complete the Registration Information & Forms. Mail to: CS-Prog. Reg., PO BOX 19575, Irvine CA, 92623-9575; Fax to: (949) 724-6608 or walk into the Civic Center, 2nd floor-Community Services.
  3. Non-residents must pay an additional $5 per course above $10 and $10 for courses priced at $75 and up.
  4. Registration is required for all courses unless noted.
  5. All courses are subject to cancellation or change.
  6. Confirmation receipts are mailed out upon enrollment. (Receipts for On-line transactions will not be mailed.)
  7. If the course desired is full, you will be placed on the waiting list and enrolled into your alternate choice if provided. Please do not attend the course if you are on the waiting list unless contacted.
  8. Senior Gold Card and IFAC member discounts are available with purchase of memberships.

Withdrawal & Refund Policy

This policy refers to courses available through Program Registration only.

  1. Full refunds/credits are available for courses cancelled by the City or Instructor.
  2. Student requested withdrawals are subject to a $5 withdrawal processing fee.
    Withdrawal Guidelines
    • Withdrawals are not available for Excursions or Special Events.
    • Requests must be received 3 days before the second meeting
    for courses meeting 4 or more times. (Unless otherwise noted)
    • Requests must be received one week prior to the first meeting for 1 to 3 day courses. (Unless otherwise noted)
    Withdrawal requests for Camps and the Learn to Swim programs must be received 10 days prior to the first meeting.Requests received less than 10 days prior to the first meeting will be processed for 50% of the fees (unless otherwise noted.) Withdrawals/refunds are not available once the program begins
  3. Credit Card transactions will be credited or you may take a credit towards future classes. A refund check is available, less an additional $5 check processing fee, for cash or check transactions. This process takes 3-4 weeks.

Method of Payment

  1. MasterCard or Visa will be accepted for all methods of registration. Be sure to include your complete 16 digit account number + expiration date.
  2. Checks made payable to the "City of Irvine" will be accepted for Mail-In and Walk-In registrations.
  3. Cash will be accepted for Walk-In registrations only at Irvine Civic Center-Community Services.
  4. Returned checks are subject to a $25 processing fee.

Privacy

The City of Irvine takes your privacy seriously. All information you provide is accessible only by Community Services Department registration staff. Class Coordinators and instructors will receive only the name, current age and address and phone number of participants. Email addresses will only be utilized for Department correspondence related to your registration, promotions, and to inform you of upcoming events. Your information will not be shared with other agencies, departments, businesses, or individuals, to the extent permitted by law.
